If you want fitness business success, you must spend some time working ON it along with all the time you spend working IN it.

I’ve shared a few of my time management strategies here, but it’s not only about saving time…

…it’s about making your time more valuable.

The way you make your time more valuable is to make sure you’re getting high return activities done instead of always pushing them back to spend your time ‘putting out fires’ or just working IN your business.

Here’s a simple way that you can ensure that you are spending time working ON your business every day:

Use the 3 by 11 Method.

Step One: Each evening before you go to bed, list out 3 high return activities you can accomplish the next day.  Make these part of your fitness marketing plan for each day.  These are work ON your business tasks.

Step Two: In the morning choose one of the high return activities and complete it. See it through beginning to end.  If it’s not something that fits into an hour or at most two – break it down into smaller components and finish one of those.

After you finish the task, check it off and move to the next one.

The goal is to finish 3 high return tasks by 11 a.m.

Step Three: Evaluate what you got done at the end of the day and create your 3 by 11 list for tomorrow.

Now you may be thinking to yourself – ‘Yeah, right. I’m booked solid from 5:30 –Noon almost every day.

No sweat.  Pick any 3 hour window throughout the day and use that as your ‘By 11’ time.

During that time, shut off the distractions – for me that would be random calls, ESPN and random email – and get the things done that will take your business to the next level.

    From 645-830ish:

    2 – facebook blast all contacts for upcoming youth clinic, facebook bootcampers to say “good job at bootcamp”

    3 – aweber blast all contacts for youth clininc coming up in june, write broadcast for new blog post and send out

    4 – write training blog post for blog + edit and add video

    5 – contact charity org for next months charity drive

    6 – check emails and answer important ones, erase non useful ones

    7- email bootcamp prospects, put on call list for later…

    8 – back to 900am bootcamp…

    Great tip. Doing one is easy, staying focused and doing all 3 by 11 is tough.

    Here is that 3×11 list today:

    1) Finish referral letter and send to printer

    2) sign , seal and mail member letter (refl contest)

    3) assign daily marketing activities to new trainers this week

    I’ve been committing to ‘stealing’ time during the weekdays so it’s rise and shine at 4:30am to get 2 hours each morning prior to leaving for work to get my business tasks done.

    Today, I put the finishing touches on a power point presentation for a webinar I will be presenting next month and I also recorded my first podcast for my blog on 5 Simple Steps To Correcting Posture.

    I’ll keep you posted on tomorrow’s tasks.

    Good one Pat. it is good to put a deadline to accomplish these things by as it can get hectic once you move in to respond mode with whatever issues are cropping up in your world on that day.

    2.) Prepare special offer coupons and invitation letter for 3 local businesses.

    3.) Work on church special freebie program for 20 men – “Re-Construction Zone”

  6. It’s funny that you had this as your post today because as I was waiting for my 5am your post came through my blackberry and I read it. I was already thinking that I needed to continue to concentrate on high ROI.

    Monday 5/10
    1. Toastmaster Group
    2. Research local groups to do public speaking in my local area
    3. Review presentation and practice for upcoming corporate wellness presentation for local insurance broker to do joint venture with

    Tuesday 5/11
    1. Schedule meeting with one of the members of my Thursday networking group to get referral for corporate account
    2. Contact local editor who wrote an article about our Transformation contest at the beginning of the year to see if I can be position as the local fitness expert to write in the local newspaper
    3. Toastmaster Group

    Wednesday
    1.Lunch with old college mate to get lead into his company
    2. Practice presentation for Friday meeting with insurance broker for corporate account
    3. Endless Referral Seminar- Bob Burg

    Thursday
    1. Weekly networking event that meets every Thursday morning
    2. Lunch meeting with joint venture partners for upcoming bootcamp in local area as a fundraiser idea for a boy’s group and explore possibility of it leading to corporate account(s)
    3. Monthly networking event that meets every 1st Thursday of the month

    Friday
    1. Review notes from Endless Referral Seminar
    2. Meet with Insurance broker about potential joint venture opportunity for corporate wellness program
    3. Review info for the bi-weekly conference call for nutrition for my bootcampers for tonight

    I am in physical therapy school in Mobile, Alabama. I’m really looking to do more than just be in school now, so I opened a gym and bought a bunch of equipment for my garage. My idea was to offer summer training scholarships (free training for a summer) and half scholarships (half priced summer training) to local area high school students and athletes. So, here’s what I did today.

    1. Wrote up a scholarship application information packet.
    2. Emailed all the local area high school athletic directors with the document attached.
    3. Updated my gym website with the scholarship information.

    I already got a few replies from some of the athletic directors, so I emailed them back. Tomorrow, I plan to write a press release to the local newspapers releasing my scholarship program to the public.

    1. Ran a 6AM, 9am, and 630PM boot camp class.

    2. Talked to a women involved in a local PTA for a fundraiser for next year where we can combine fundraising and a transformation contest.

    3. Called 10 Businesses for business of the month.

    4. Talked to 3 boot camp parents with kids that are involved in athletics. I am starting up an athletic strength program and am leveraging my current network first. Asking them about their kids as well as the teams and what the teams do for strength training

    5. Emailed or called bootcampers that have been MIA or missed a few sessions.

    6. Called back all free trials that contacted me over the weekend

    7. Ran the final numbers on a recent cardio contest and am preparing email blasts to show off the winners.

    2. Met with massage therapist to pursue potential joint venture.

    3. Had a photographer come to one of my boot camps to take pictures for my new website.

    Tomorrow I’ve got 2 networking events and a joint venture meeting! Great idea, Pat. Looking forward to participating…as well as staying on top of things because of your help with accountability :) .

    *Improved request for info form to capture more details such as their reasons for interest for future use as well as their full contact details so I can not only call or email them, but actually post stuff out
    *Updated my client contract to get more serious results
    *Raised prices of my shorter term packages
    *Sent out email to all clients promoting Referral Rewards Program
    *Set myself some financial goals and started working backwards on a plan to achieve them

    I’ve already purchased the FitKids Camp program, but just wanted to share what a productive day I’ve had

    Boring but effective…every morning, before 11:00, I design/review the day’s athletes and their protocols, return/make phone calls, emails and in-person appointments, play with my 2 year old daughter :)
    Without the last one, my day is incomplete!

    This is absolutely my answer for getting things done! I’m an unorganized freak! So here’s what I’ve managed to do in two days:

    Monday:
    1. Designed and “completed” a poster ready for print for upcoming fundraiser for cancer foundation.
    2. Wrote up and distributed letters of endorsement canvassing for coporate sponsorship on behalf of cancer foundation.
    3. Weeded out useless emails that keep me tied to the computer with zero productivity results.

    Tueday:
    1. Organized binders that sorted out pertinent information for business building/marketing/speeches, etc.
    2. Designed and printed out posters for boot camp classes.
    3. Tallied boot camper’s weight loss results for competition that just ended.
    4. Did follow up calls on corporate boot camp contacts.

    Wednesday’s Agenda:
    1. Organize and submit new advertising campaign.
    2. Facebook all contacts on new boot camps.
    3. Get boot camp coupon designed and ready for print.

    This is great! I’m feeling so much more in control and not as overwhelmed. Thanks a million.

    Not a whole lot going on today but nonetheless just something to keep momentum rolling:

    Wake up time: 4:45am (got to sleep in…haha)

    -submitted my podcast “5 Steps To Correcting Posture” to I-Tunes (20+ downloads so far from my blog and I can’t wait to see what happens now:)

    -Backed up all files and database on my blog
    -Wrote down ideas to add a membership area to my blog
    -Brainstormed ideas for my next podcast
    -Took a few more pictures to add to the July webinar presentation

    I have to say that just getting a couple hours each morning to work on what I love doing makes going through a work day so much easier

    Here is what I did on Tuesday:

    1. Talked with 3 more parents of atheltes. I am trying to leverage everything I can to get this going. I started my first athlete strength session yesterday with 2 athletes. I am looking forward to this.

    2. Made more busienss to business calls.

    3. Sent out a blog and facebook update on the contest that just ended, the winners, and the sports program.

    4. Am in the process of updating my business systems, especially new client system.

    5. Hada great idea for teachers over the summer since I do classes at the school system I have a direct connection. I am going to make them an offer to join at my gym during the summer till Sep.

    A big focus right now is on these athletes and getting the program started.

    here’s what i finished tuesday before 1pm.

    1 – 440-630 Boot Camp

    2 – 630-655 Satyed after bootcamp and coached nutrition and foam rolling w/ a few new clients

    3 – 715-840 – Finished blog posts for blogs, answered ONLY important emails, post video on blog, send emails to charity org to finalize charity price for next month, and mentioned and handed out gift cards to bootcamp to the coffee shop girls… more possible bootcampers

    4 – 900-945 – bootcamp

    5 – 1000 – 1050 – met with an MMA Gym owner about upcoming partnership

    6 – 1100 – 100PM – Stopped by 10 different high schools around town and talked with football coaches about upcoming high school combine challenge we’ve got on June 12th. Invited them to come and gave them flyers. In the same instance, I spoke with 6 secretaries from around the high schools about bootcamp and gave them gift cards… more possible bootcampers…

    I had just 2 goals to accomplish this morning that for whatever reason I was just holding back on doing for so long

    Why I don’t know…fear perhaps

    What I really want to do career-wise is to teach fitness professionals corrective exercise strategies to help their clients overcome injuries and I’ve been told to start by offering some local workshops first

    So, I created a flier about the workshop.

    Then I sent an e-mail to the big health club chain in my area and also the personal training company who they are affiliated with and I offered this workshop to their training staff

    Regardless of the outcome I’m glad I did this since it’s keeping momentum going.

    Tomorrow, I will contact the other health clubs in my area and offer the same

    3 things which i’ve putting into action over each of the 3 days are:

    1) Making at least 3 calls to different businesses each day to ask them if they have a corporate wellness program and if so how it is working for them at the moment and also if I can help them in improving it? Alternatively I also offer them a free lunch n learn at their business premises.
    2) Met with a major corporate prospect to discuss the implementation of a corporate wellness program. Have arranged a small thank you gift with a thank you card and have scheduled a follow up call after that.
    3)Joined local Chamber of Commerce and getting ready to place a business ad on their website to give me maximum exposure to potential target prospects.
    4) Joined local business association and have arranged a free lunch n learn speaking engagement.
    5) Researching businesses in my local area who received the top awards for best company to work for as it is likely that they would be interested in using my services.
    6) Researching target groups to organise free public speaking opportunities.

    Here is what I did yesterday to push business ahead. It was not a great day as I had 4 classes and had to pick up equipment from 2 differnet craigslist locations.

    1. Made more 5 business to business calls.

    2. Made a video for my blog.

    3. Sent out more emails and phone calls to those that missed class and some to those that have been doing great.

    4. Talked with a coach about getting 5 of her girls into my sorts training.

    5. Talked to 2 more parents about their kids and sports training. My next step is to get the hockey team in and then start doing some bodyweight seminars at their practices.

    6. Lastly, called a few people from fundraisers that never contacted me to get started.

    That’s it not a ton but still pushing ahead.
